Legal Administrator

About the Role

Role Purpose:

The main purpose of the job is to support the Chief of Group Legal and Legal Administrator & Executive Assistant.


The Legal Administrator supports the management of all company agreements and processes by ensuring that all review cycles of the agreements/documents are set up correctly, documented in registers to enable end-to-end traceability throughout the agreement lifecycle and to ensure communication and follow-up between relevant stakeholders. Furthermore, the Legal Administrator is required to assist with any other tasks that the Legal Administrator & Executive Assistant or Chief of Group Legal may require.


Administrative Support:

  • Administratively support and attend to internal and external communications via all acceptable platforms.


  • Respond timeously to all correspondence.


  • Keep track of all matters received via any communication platform.


  • Update relevant registers with any new tasks and/or updates received.


  • Prepare presentations and/or training material.


  • Provide training to relevant persons and/or business units as and when required.


  • Populate accurate and complete agreement templates according to department standards.


  • Allocate correct naming conventions and register numbers to documents or agreements according to department standards.


  • File all populated agreements in the necessary folder and/or register.


  • Update relevant registers with relevant information.


  • Format and finalise agreements according to department standards.


  • Upload agreements to the relevant platform for signature and shared with relevant parties.


  • Take ownership of the agreement lifecycle to ensure all parties provide input where required in order to get the agreement/document executed.


Legal Relationships:

  • Building meaningful relationships, relationship management and interaction/collaboration with external and internal stakeholders to ensure all legal related matters are attended to and/or brought to the Chief of Legal’s attention and resolved accordingly.


  • Manage external and internal stakeholders’ expectations by ensuring that all relevant parties are kept up to date.


  • Assist in resolving any issues that may arise stemming from external and internal stakeholders.


Legal Documentation and Record-Keeping:

  • Maintain legal schedules for all agreement's lifecycle by scheduling, coordinating, expediting, and tracking the agreement reviews, comments, approval and distribution of all external and internal stakeholders’ agreements.

  • Develop and maintain all legal registers and ensure that all registers are updated with the latest information.

  • Schedule and attend legal blockers/update meetings.


  • Prepare for the legal blockers/update meetings.


  • Update registers with information obtained during legal blockers/update meetings.


  • Respond to and resolve any queries received during the legal blockers/update meetings.


  • Develop and maintain department audit schedule.


  • Compliance with Record Retention and Safeguarding Laws.


Confidentiality and Data Protection:

  • Maintain confidentiality regarding sensitive documents.


Policy and procedures Administration:

  • Track any agreement and/or policy that needs to be reviewed by the Legal department as well as procedure drafting, reviews, comments, approval and distribution of all signed off policy, procedures and agreements.



General Support to the Legal Administrator & Executive Assistant and Chief of Group Legal:

  • Attend to any other day-to-day activities of the legal department which are not listed herein.

  • Support the Legal Administrator & Executive Assistant and Chief of Group Legal with any other required tasks as and when required, said tasks may include, but are not limited to:

    • HR or Compliance related matters;

    • Research;

    • Schedule meetings and manage calendars;

    • Make/answer phone calls and emails and take messages;

    • Take accurate and comprehensive notes at meetings;

    • Help with daily time management;

    • Run errands as requested;

    • Plan travel, including flights, accommodation and ground transportation;

    • Event management;

    • Coordinate events and speaking engagements;

    • Draft correspondence such as emails and letters;

    • Dictation of recordings.


Way of Work:

  • Use of proper punctuation, UK English grammar and spelling.

  • Ensure all documents, correspondence etc. are formatted correctly, are neat and accurate.

  • All activities are completed with due care and align with accuracy and quality standards.

  • Obtain necessary approvals for legal activities aligned with process.

  • Identify and / or confirm relevant timeframes / deadlines applicable to the task at hand.


Training:

  • Provide training, support and assistance during the onboarding of any new Legal Administrator or similar position.


Requirements

What You Need to Succeed:


  • A graduate who has completed and been awarded a degree from a university or college of at least 3 years.

  • Minimum of 2 - 3 years’ in an administrative role or document and/or process control work experience.

  • Experience with file-sharing platforms.

  • Proficient in SmartSheets and ability to learn new technical systems, when necessary.

  • Proficient in Microsoft Office Suite, Google Suite or related software.

  • Effective organisational skills - soft skills that help you manage expectations, stay on top of tasks, and deliver results.

  • Thrives in a fast-paced environment, adapting to challenges and working well under pressure.

  • Detail and deadline-oriented, strong project management skills.

  • Exceptional communication, interpersonal, and decision-making skills.

  • Demonstrated ability to establish effective and cooperative working relationships built on trust.
